LATEST ANNOUNCEMENT/S MEMORANDUM ARCHIVES FORMS

For graduates and candidates who are applying to take the 2023 Bar Exams, you may claim your set of Bar Exams documentary requirements itemized below starting April 1, 2023:

1) Birth Certificate (PSA);

2) Marriage Certificate (PSA-for married female applicant only);

3) New Transcript of Records (TOR);*

4) Certificate of Enrollment (COE) issued by the Registrar and Dean;**

5) Certificate of No Derogatory Record signed by the Dean Every Bar Candidate should coordinate with the Records Office; request & payment to be made not later than release date set forth below; and submit to the Accounting Office proof of payment for validation.

As guide in paying, please refer to the Payment Procedures.

Set of documents to be claimed for each category:

  • First time takers who are 2022 and prior graduates,
  • Repeaters, and
  • Refreshers
  • Candidates for Graduation as of First Semester AY 2022-2023
  • Candidate for Graduation as of Second Semester AY 2022-2023
  • Claim Items 1,2,3,& 5 Claim Items 1,2,4,& 5 Claim Items: 1,2,4,& 5

    Note: * Must have a new TOR complying with:

    (a)No. 7 of Annex A (for first time takers [New Applicants] who are 2022 and prior graduates);

    (b) No. 5 of Annex B (for repeaters); and

    (c) No. 5 of Annex C (for refreshers),all of Bar Bulletin No. 2-2023.

    Please pay for the new TOR upon request at least two weeks before April 1, 2023.

    Note: * TOR to comply with No.4 of Annex D (All Applicants) of Bar Bulletin No. 2-2023.

    (Releasing of TOR shall be from October 1, 2023 and onwards.)

    ** COE shall indicate as having completed academic requirements as of first semester of AY 2022-23; completed the CLEP program; and expected candidate for graduation for AY 2022-2023.

    COE release is subject to clearance from the OLA.

    Fees for TOR and COE are included in TCADD fee.

    Note: * TOR to comply with No. 4 of Annex D (All Applicants) of Bar Bulletin No. 2-2023.

    (Releasing of TOR shall be from October 1, 2023 and onwards.)

    ** COE shall indicate as:

    (a) currently enrolled in the last year of law school;

    (b) currently completing [OR has completed] the Clinical Legal Education Program (CLEP), as required by Rule 138-A of the Rules of Court, and is securing [OR has satisfactorily secured] CLEP Level 1 / 2 OR both Certifications; and

    (c) expected candidate for graduation for AY 2022-2023.

    COE release is subject to clearance from the OLA.

    Fees for TOR and COE are included in TCADD fee.

    The releasing date is April 1, 2023, Saturday (except for the TOR due on Oct. 1, 2023 and Onwards):

    GUIDELINES FOR REQUESTING DOCUMENTS

    I. General rules applicable to all requests for school document:

    Students and alumni may request their school documents from the Registrar's Office by email through the following procedure.

    1. Email the Registrar's Office at registrar@arellanolaw.edu with details about yourself and

    2. Send your scanned request-letter with your signature and a scanned copy of your AUSL school ID to aforesaid email address:

    3. Wait for an email from the Registrar's Office for status of request.

    4. Pay the document fee/s at:

    Payment Options:

    a. Over-the-counter deposit at any BANCO DE ORO branch.

    Fill-out cash/check transaction slip and deposit slip to:

    5. For validation of payment, email (1) a scanned clear copy of the validated deposit slip or confirmation page and (2) your name and student ID number to:

    6. You will receive an acknowledgment of payment and instructions on how you may claim your document.

    7. Only requests with validated payment from accounting will be processed.

    8. You or an authorized representative may claim the document from the Registrar's Office. Your representative must present his/her valid ID, your notarized Special Power of Attorney (SPA) and a photocopy of your valid ID.

    9. A student whose documents will be shipped to an international address is subject for the assessment of international mailing fee.

    II. Clearance as additional requirement when requesting a document:

    1. Some documents require an approved clearance before processing such as the following:

    A. Transcript of Records

    B. Honorable Dismissal/Transfer Credential Certificate

    C. Diploma

    D. Certification

    E. Certified True Copy

    F. Course Description

    G. CAV Certification

    H. Good Moral Character

    2. Clearances may be processed in-person or by email, as the specific AUSL Office covered by the clearance may consider or allow.

    III. For other documents not enumerated in Rule II above, you may email the University Registrar for request by following Rule I above in the case of:

    A. Cross-enrollment Permit

    B. Letter of No Objection

    C. Letter of Request for the release of TOR from previous school

    Guidelines for Releasing of Documents

    A. What to bring:

    1. Bring a printed email of the confirmation of release.

    2. Bring the original document for certified true copy requests i.e. Diploma, TOR

    3. Present the Special Power of Attorney and Valid IDs (if applicable)

    4. Or such other documents per instruction by email or phone by this office

    REGISTRAR MEMORANDUM 2022-013

    TO:ALL STUDENTS
    FROM:OFFICE OF THE REGISTRAR
    DATE:19 JULY 2022
    SUBJECT:GUIDELINES ON ACADEMIC LOAD REVISION
    (ADDING/DROPPING/CHANGING OF SUBJECT/SCHEDULE)

    Please be reminded of the following guidelines on academic load revision:

    1. The schedule of filing of application for academic load revision are as follows:

    a. Adding of subjects - Period is from first day of classes until last day of late enrollment (2 weeks after the regular enrollment schedule)

    b. Dropping of subjects - Period is from first day of classes until before midterm examinations date

    Note:

    Dropping with retention charge is until last day of late enrollment

    Dropping with no retention fee (full payment of tuition fee) is until before midterm examinations date

    c. Changing of subject/schedule - Period is from first day of classes until last day of late enrollment (2 weeks after the regular enrollment schedule). It shall be allowed only once. Multiple and various filing of changing of subject/schedule will be automatically denied.

    d. Complete withdrawal -

    With retention until last day of late enrollment

    With no retention fee (full payment of tuition fee)- After last day of late enrollment on or before final examinations

    2. The submission/filing of application is through online/email only. Please take note that the designated email address is being changed every academic year period.

    3. Processing time is within seventy two (72) hours or as time may allow (upon approval).

    4. All approved applications will be reflected in your AIMS student portal.

    For all approved applications for additional subjects:

    a) Students must monitor their AIMS student portal from time to time to check if the zoom link and/or name of the professor already appeared/reflected.

    b) Please observe that the processing period is from first day of class until last day of late enrolment and/or until such time of approval, not later than 2 weeks after the last day of late enrolment.

    c) The student must only attend the right class of approved subject and ensure that the names are listed on the official class list to avoid loss/confusion/uncertainty or failing marks.

    For all approved applications for dropped subjects:

    a) The student may attend class until such time the application has been approved.

    b) Students must monitor their AIMS student portal and/or verify from the AUSL Office of the Registrar if they have been officially dropped from their subject/s to ensure that the record has been updated to avoid any failing marks.

    5. Students affected by dissolved subjects may be given priority to be merged or added in other classes upon approval of the Dean. The students must submit application for additional subject/s to be able to replace dissolved subject/s.

    All applications are subject to the approval of the Dean and availability of slots. Additional fees may be charged for the application on academic load revision.
